Before you begin

  • Created scope checklists for the packages you want to track
  • A project schedule in PDF, XLS, XLSX, CSV, or TSV format when creating the first log

Step-by-step

Follow these steps

  1. Open Material Tracking

Open the project and select Material Tracking.

If ScrubPlan asks for scope checklists, create or refresh those checklists first. The log uses their package and grouping structure to organize materials.

  2. Upload the project schedule

Select Create Material Tracking Log and add the current project schedule. Supported files include PDF, XLS, XLSX, CSV, and TSV, up to 50 MB.

Confirm the file and wait while ScrubPlan identifies material activities, packages, and schedule dates.

  3. Review the generated log

Open each package and grouping. Confirm the material name and the dates ScrubPlan extracted from the schedule.

Correct a package or grouping heading when the generated organization does not match the way your team will manage the work.

  4. Maintain material dates and status

Enter or update Lead Time, Submittal Due Date, Submittal Received, Need to Release Date, Actual Release Date, Installation Date, and Confirmed Delivery Date.

When lead time and installation dates are available, review the automatically calculated release and submittal dates.

Drag a date down adjacent rows when several materials share the same milestone. Changes save automatically.

  5. Add, organize, or remove items

Add a row when a material is missing, then place it under the correct package and grouping.

Rename package or grouping headings as the buyout plan changes. Delete a row only after confirming it is not needed in the project record.

  6. Assign package owners

Choose the team member responsible for each package.

Confirm the assignment before enabling reminders so notifications go to the right people.

  7. Configure reminders

Open notification settings for the project or an individual package. Choose email, text, or both and add the intended recipients.

Set the reminder schedule for upcoming or overdue milestones. A phone number must have documented SMS consent before text reminders can be enabled.

Review package-level settings when one trade needs a different cadence from the rest of the project.

  8. Work the risk and audit lists

Use the overview cards to find Submittals Past Due, Submittals at Risk, Release Dates Past Due, Release Dates at Risk, and Delivery Dates at Risk.

Open Critical Items to review the AI-generated follow-up list and mark completed items. Recreate the list when the schedule or log changes materially.

Open Schedule Audit to review schedule concerns, complete each check, and confirm the team has addressed every exception.

  9. Export or recreate the log

Export the material log to XLSX or PDF. Export Schedule Audit results to XLSX or DOCX when another team needs the record.

To replace the source schedule, choose Recreate and upload the replacement file, then review the newly generated log.

Before you leave

Finish the handoff
