Before you begin

  • At least one active bid package

Step-by-step

Follow these steps

  1. Open a package bidder list

Open Bid Packages, choose a package, and open its Bidders section.

Review the current company count, contact coverage, invitation status, and any package warnings.

  2. Find qualified vendors

Select + Bidder to open the vendor picker. ScrubPlan ranks companies using coverage and available capability information.

Search by company, contact, email, trade, city, or state and use the filters to narrow the list.

  3. Choose companies and contacts

Select the company when all eligible contacts should receive the invitation, or open the company and choose individual contacts.

To add a company that is not listed, enter its company and contact information. Saving it also adds the company to Vendor Management.

  4. Set a project-only contact

Open the bidder and update the email address or phone number used for this project when it differs from the shared vendor record.

Confirm that you are editing the project contact. The override does not change the company's contact in the organization Vendor Directory.

  5. Track invitation and response status

Use the status labels to distinguish Email Not Opened, Email Opened, viewed but undecided, Bidding, and Not Bidding.

Resend an individual invitation when one contact needs it, or resend all invitations after confirming the package recipients.

  6. Review the communication log

Open the bidder communication history to see bidder responses, agent text or voice activity, and manually recorded contact attempts.

Add a manual call or text outcome so the project team has one complete follow-up record.

  7. Schedule reminder emails

Open Reminder Emails, choose the intended bidder group, and set the send schedule relative to the invitation or bid due date.

Review the recipients and timing before enabling the schedule.

  8. Configure automated confirmation outreach

Open Agent Bid Status Follow-Up and enable text messages, automated calls, or both for bidders who remain undecided after the initial invitation.

Set the number of days after the invitation and the local send time for each channel. Automated outreach does not run on weekends.

Confirm that the primary contact has consented to the selected channel and that the agent shows Ready before leaving the page.
